Safe Online Space Cymru is committed to promoting the safety and well-being of every individual who engages with our organisation, particularly children, young people and vulnerable adults. Our mission is to foster a safe, inclusive and empowering digital community where everyone can participate with confidence. This policy outlines our safeguarding commitment, responsibilities and procedures to ensure the highest standards of protection across all of our activities.
1. Policy Statement
Safe Online Space Cymru is committed to safeguarding all individuals who participate in our programmes, events, campaigns and online platforms. We recognise our responsibility to create safe environments where everyone is treated with dignity, respect and care.
2. Scope
This Safeguarding Policy applies to all staff, directors, volunteers, contractors and anyone working on behalf of Safe Online Space Cymru. It also applies to all individuals and groups participating in our services, events and digital platforms.
3. Safeguarding Principles
- Zero Tolerance: We do not tolerate abuse, exploitation or harm in any form.
- Shared Responsibility: Safeguarding is everyone's responsibility.
- Inclusivity: We prioritise the safety of children, young people and vulnerable adults.
- Transparency: We maintain clear reporting procedures and accountability.
- Confidentiality: Safeguarding concerns are handled professionally, respectfully and confidentially.
4. Definitions
- Abuse: Any action causing physical, emotional, sexual, financial harm or neglect.
- Child / Young Person: Anyone under the age of 18.
- Vulnerable Adult: An adult who may be at greater risk because of disability, illness or other circumstances.
- Safeguarding: Protecting people from harm while promoting their wellbeing.
5. Roles and Responsibilities
Designated Safeguarding Lead (DSL)
- Ensures implementation of this policy.
- Oversees safeguarding training.
- Acts as the main point of contact for safeguarding concerns.
- Reports serious incidents to external authorities where required.
Staff and Volunteers
- Follow this policy and safeguarding procedures.
- Complete safeguarding training.
- Report safeguarding concerns immediately.
Directors
- Ensure organisational compliance.
- Review and approve safeguarding policies.
6. Code of Conduct
- Treat everyone with dignity and respect.
- Ensure activities remain inclusive and appropriate.
- Avoid situations where you are alone with children or vulnerable adults.
- Report safeguarding concerns immediately.
7. Reporting and Responding to Concerns
Reporting Procedure
- Recognise signs of abuse or harm.
- Respond by ensuring the person's immediate safety.
- Report concerns to the Designated Safeguarding Lead (DSL).
- Record the concern using the Safeguarding Concern Form.
- Refer to local authorities or law enforcement where appropriate.
8. Safeguarding Procedures
Recruitment and Training
- Enhanced DBS background checks where appropriate.
- Mandatory safeguarding induction.
- Annual safeguarding refresher training.
Event and Activity Risk Assessments
- Risk assessments completed before every activity.
- Events supervised by trained staff and volunteers.
- Digital events include moderated online environments.
Online Safety Measures
- Strong data protection measures.
- Moderated online platforms and communities.
- Digital safety education and resources.
9. Confidentiality and Data Protection
All safeguarding concerns are treated with strict confidentiality. Records are securely stored and only accessible to authorised personnel. Personal information is processed in accordance with the UK General Data Protection Regulation (UK GDPR).
10. Monitoring and Review
This policy is reviewed annually by the Directors and the Designated Safeguarding Lead to ensure continued effectiveness and compliance with current legislation and safeguarding guidance.
